Event Sales Coordinator Job Opportunity - Searcys at the Barbican

The Barbican is Europe's largest multi-arts venue and is highly respected for its diverse range of activities spanning music, festivals, theatre, visual arts, cinema, conferences and trade exhibitions. 

A full time position has come available within the Searcys team based at the Barbican. 

Main Purpose:

To co-ordinate and provide administrative and sales support to the Sales Team so that all events run smoothly and successfully

Key Responsibilities:

  • Co-ordination of LSO events and LSO Sponsor events – approx. 50 events per year
  • To develop and maintain relationships with existing regular clients
  • To manage and maintain a clean database
  • To log all enquiries and manage enquiry log
  • To take incoming enquiries(when required) in accordance with Searcy standards and procedures
  • To manage the event diary in line with Searcys & Barbican operating procedures
  • To prepare proposals for new enquiries and any additional administration including payments
  • To deal with internal and external enquiries in a professional and efficient manner
  • To ensure all event information is put onto Artifax correctly
  • To liaise with internal Barbican departments to ensure smooth running of all events (technical etc)
  • To fully coordinate the event up to the day of arrival including Weddings
  • To produce clear and concise function sheets in accordance with company standards and procedures
  • To provide a clear and concise handover to the banqueting team
  • To communicate clearly with the kitchen team with regard to menus
  • To conduct show rounds (when required)
  • To work as part of a team and lead by example
  • Liaise with external suppliers to source and order specialist equipment
  • Maintain good working relationships with the client (Barbican Centre)
  • Attend Function sheet meetings with Banqueting team and Chef
  • To represent Searcys in a professional manner at all times in your behaviour, appearance and knowledge.
  • To perform any other reasonable duties as requested

Required skills:

  • Excellent communication skills
  • Good product knowledge
  • Excellent attention to detail
  • Good communication skills
  • Knowledge of Microsoft Products and Artifax Booking system would be an advantage but not necessary
